Objective:

The purpose of this project is to provide the Oper8010 students with an opportunity to work together in groups to apply the purchasing tools and knowledge learned in the first six (6) weeks of the course to a real-world business environment in order to research and prepare a professional looking Request for Quotation (RFQ) to support the Sourcing strategy in your future procurement role.

Grading:

The Global Sourcing – RFQ Project accounts for up to 15% of the overall Oper8010 course grade, based on thoroughness, accuracy and the professional quality of the final document.

Due Date:

11:59pm, June 25th, 2021 submitted via e-Conestoga drop-box.

Groups:

All groups are determined and confirmed before the start of week (3). A list of all group members is listed in the E-Conestoga announcement page. All students are expected to contribute equally to the group work effort throughout the project. Upon request, optional peer evaluation forms may be distributed and collected from all team members at the conclusion of the project.

Reports:

Final reports will be submitted via the e-Conestoga drop-box in the assignments tab and are due at 11:59pm, June 25th, 2021. Each team’s report format should be single sided, 1” margin and 12-point Times New Roman font, and may contain as many pages of relevant, supporting exhibits as required. All reports should include a properly formatted cover page listing the report title, course name, instructor name, group names & student numbers. Please have each team member sign the report on the front page.

Project Scope:

Having just completed your SCM-G certificate from Conestoga College, you and your fellow team members now all have jobs as entry-level buyers in the purchasing department of a Toronto-based company. Your 1st assignment from your new manager is to research and prepare a new Request for Quotation document, utilizing the following parameters:

1) As a group, brainstorm and research as required to select a “good” that your fictional company needs. The product should be some kind of durable or consumable component which is required to be used in the manufacture or assembly of your company’s finished products. The component could be anything you choose, (a motor, a wheel, a fastener, a speaker, a microchip or any type of material used in the manufacturing process; like chemicals, abrasives, tooling, etc.) It can be anything you choose, but it has to be a real-world component that is commonly used by actual organizations in Canada or around the globe. Do not select a raw material, commodity or service for this project.

2) Submit your chosen “good” to your instructor via e-mail for suitability review and approval. This is due by 9pm on Friday, June 4th, 2021.

3) Once approved by your instructor, your group will need to research exactly what properties, specifications or standards are typically used to clearly describe your “good” in order to establish quality standards which can be used to ensure equality of comparison/selection.

4) Each group should ensure that all product & quality requirements, commercial requirements, legal requirements, evaluation criteria, financial needs and “other” (as applicable) issues are addressed within your RFQ document details.

5) Each group must source, and justify your selection of, at least three (3) actual, viable companies which could be capable of providing your good and responding to your RFQ. Please note students shall not contact any third-party or Supplier as part of this project.

6) Prepare a formal, business quality RFQ document, which could be considered ready to be issued to the aforementioned three companies on your bidders listed.

Key Success Factors:

A) Format / Structure / Content

· The content and structure of any RFQ may vary by industry, organization, buyer, item, standards, systems, processes, etc., however, there are some common format components which should always be included, to ensure a thorough and uniformly evaluated tendering process for order award.

· Having said that, there are a wide variety of RFQ templates that can be located online and your group should select one that it believes best suits your chosen “good”.

· As a class, we will take some time to discuss this project, in all of the sessions to follow, up to the delivery deadline to ensure all groups are on the right track.

B) Next Steps

Once you select your “good”, you need to clarify further details during your research, such as (as a minimum but not limited to):

· what is the application for this item and what industry or sector is it being used for?

· what is it becoming part of or used for?

· what conditions will be involved and / or what performance standards must be met?

· what dimensions or other characteristics must be detailed?

· what regulations, standards or laws may apply?

· if imported; what customs, transport, permits or other costs may apply?

· does WHMIS, MSDS or Hazmat apply?

· does it require training or safety issues to be met?

· what colour, materials, grade, warranties, etc., need to verified?

· are drawings required or available?

· what form of measurement and/or pricing may apply?

· is transport included and what form would it take?

· is packaging included and what do you require?

· is testing or certification required?

C) Must Have Content

· Intent for RFQ stated clearly up front – why are you issuing this document….

· Suitability of the item in question for an RFQ – an actual, tangible item required by existing, real organizations.

· Demand forecast created in sufficient volume/ quantity for use of an RFQ process.

· Item clearly described – clear & precise without ambiguity.

· Suitable Specifications and/or Standards selected. Including applicable technical terms, drawings etc.

· Clarity of RFQ Instructions to Bidders-Clear & understandable, without omissions or “assumptions”.

· Clarity & Completeness of Commercial Terms (Payment, FOB, Ins., Liability, Warranty, Pkg.,), applicable for sourced country of origin.

· Suitability of Legal Terms & Jurisdiction. Based upon jurisdiction for tendering process & contract execution.

· All Criteria Clearly Stated & Suitable for an RFQ. Clear checklist of mandatory requirements which must be met with the goal of leaving only cost as the final determinant.

· Suitability of 3 vendors sourced. Actual vendors sourced with full contact details and verification/ justification of their ability to supply item.

· Overall Thoroughness of Document. “General” completion of all items above with good flow and sequencing.

· Overall Professionalism of Document. “Could this document actually be good enough to issue to vendors” if you were the Buyer for the organization?

· Have all requirements been listed; product & quality requirements, commercial requirements, legal requirements, evaluation criteria, financial needs and “other” (as applicable) issues been addressed within your RFQ document details.

D) Please Note

· Your group is expected to research sample RFQ documents from the internet as a reference or an example, but your group should NOT copy any content or language from those reference documents for your submission.

· Your group shall not contact any companies or third parties as part of this project

· EACH GROUP shall include a copy of your Turnitin originality report with your submission. Please ensure your team is fully aware of Conestoga’s plagiarism policy.

· All references must be clearly referenced and cited (APA style).
